Iconic Candy is a family-owned business dedicated to bringing back the most beloved childhood candy brands. We’re on a mission to bring smiles, one sweet treat at a time, and we’re currently launching iconic 90s favorites like Bubble Jug, Squeeze Pop, Ouch! Bubble Gum, and Retro Sours. We’re also expanding into exciting new formats and flavors, and we need an Operations Coordinator to help us streamline our processes.

What You’ll Do:

We are seeking a highly organized and proactive Operations Coordinator to manage our sales processes, from order processing to vendor relationship management. This role is perfect for someone who enjoys overseeing multiple tasks and ensuring that every part of the sales lifecycle runs smoothly.

Key Responsibilities:

1. Sales Order Processing, Lifecycle & Invoicing

Oversee the entire sales order process, from order receipt to order fulfillment, ensuring a smooth and efficient experience for our accounts.

Manage and track shipments, ensuring accuracy and timely delivery.

Maintain up-to-date records of sales activities, orders, and statuses

Monitor inventory levels to ensure product availability

Generate and process invoices for all shipped orders

Track payments, manage outstanding invoices, and follow up with clients as necessary to ensure timely payment.

2. Customer & Vendor Management

Assist with account management tasks, building strong relationships with customers

Prepare sales reports and analyze data to provide insights and recommendations for improving sales processes.

Develop and maintain relationships with key logistics vendors, third party sales reps, and distributors to ensure smooth operations

Address and resolve any vendor-related issues that may arise, ensuring a high level of service and product quality.

3. Operational Efficiency & Process Improvement

Identify opportunities to streamline processes and improve the efficiency of sales order processing, invoicing, and vendor management.

Assist with setting up and optimizing our CRM/ERP system to ensure seamless sales operations via NetSuite Learning Center.

Collaborate with other departments to ensure alignment and smooth communication across all aspects of the business.

4. Administrative Support

Provide administrative support to ownership, including scheduling meetings, preparing documents, maintaining records, preparing and sending out packages and office tasks

Assist in organizing trade show logistics, including preparing materials, managing inventory, and coordinating shipments.

Who You Are:

A detail-oriented professional with strong organizational skills and the ability to multitask

Familiarity with CRM and ERP systems, as well as proficiency in Microsoft Office Suite (Excel, Word, Outlook). An understanding of NetSuite is a bonus.

Excellent communication and interpersonal skills, with the ability to build and maintain relationships with important account reps and team members.

Experience in sales order processing, invoicing, and account management is highly preferred.

Comfortable working in a fast-paced, dynamic environment and can adapt to changing priorities.

Strong problem-solving skills with a proactive approach to identifying and addressing challenges.

Bachelor’s degree in Business, Operations, or a related field is a plus but not mandatory.

Compensation:

Competitive salary range: $45,000 - $60,000 per year (based on experience)
